1. Acceptance of Terms
By downloading, installing, or using the KwikInvoice mobile application ("App," "Service," or "KwikInvoice"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, do not use the App.
These Terms constitute a legally binding agreement between you ("User," "you," or "your") and KwikInvoice ("we," "us," or "our").
2. Description of Service
KwikInvoice is a mobile application designed to help small businesses and freelancers:
Core Features:
- Create and manage professional invoices
- Store client information locally on your device
- Generate PDF invoices for sharing
- Track invoice payment status (Draft, Unpaid, Paid)
- Import client information from device contacts (with permission)
- Share invoices via email, WhatsApp, or other apps
- Save invoices to device storage
Subscription Plans:
Free Plan:
- Create up to 5 invoices per calendar month
- All core features included
- Invoice counter resets on the 1st of each month
- Local storage only (no cloud backup)
Pro Plan (Future):
- Unlimited invoices per month
- All Free plan features
- Priority support
- Access to future premium features
Note: Pro subscription functionality is currently in development. Payment processing will be handled through Google Play Billing when available.
3. User Eligibility
Age Requirement
You must be at least 18 years old to use KwikInvoice. By using the App, you represent and warrant that you are 18 years of age or older.
Business Use
KwikInvoice is intended for legitimate business purposes. You agree to use the App only for lawful business activities.
Capacity
You represent that you have the legal capacity to enter into this agreement. If you are using the App on behalf of a business, you represent that you have the authority to bind that business to these Terms.
4. User Account and Data
Local Data Storage
- All data is stored locally on your device using SQLite database
- Your invoices, clients, and business information are NOT stored on our servers
- We do NOT have access to your invoice or client data
- Uninstalling the App will delete all local data permanently
Your Responsibilities
You are responsible for:
- The accuracy of information you enter into the App
- Maintaining the security of your device
- Backing up your data if desired (export PDFs or use device backup)
- Compliance with tax and business regulations in your jurisdiction
Data Backup
- KwikInvoice does NOT provide cloud backup
- You can export invoices as PDF files for your own backup
- Device-level backups (Android backup) may not preserve app data
- We are not responsible for data loss due to device failure, uninstallation, or other causes
5. Subscription and Billing
Free Plan Limits
- The Free plan allows 5 invoices per calendar month
- Invoice counter resets automatically on the 1st of each month at 00:00:00 local time
- Existing invoices remain accessible after reaching the limit
- You can view, share, and manage existing invoices without restriction
Pro Subscription (When Available)
Current Status: Mock/testing mode. Real payment processing not yet implemented.
When Live:
- Billing through Google Play Store only
- Subscription price: R99.00/month (subject to change)
- Billed monthly to your Google Play account
- Automatic renewal unless cancelled
- Google takes 15% transaction fee (you pay R99, we receive ~R84)
Payment Terms
- All payments processed through Google Play Billing
- Subject to Google Play's payment terms and policies
- Payments are non-refundable except as required by law
- Subscription continues until you cancel
Cancellation
- Cancel anytime through Google Play Store → Subscriptions
- Access to Pro features continues until end of billing period
- No partial refunds for unused time
- After cancellation, reverts to Free plan (5 invoices/month limit)
Refunds
- Refund requests must be made through Google Play Store
- Subject to Google Play's refund policies
- Generally, refunds available within 48 hours of purchase
- We do not process refunds directly
6. Permissions and Privacy
Required Permissions
Internet Access:
- Used for subscription verification with Google Play
- No invoice or client data transmitted
- App functions offline for core features
Storage Access:
- Required to save PDF invoices to device storage
- Only accesses app-specific directories
- Controlled by Android's app sandboxing
Optional Permissions
Contacts Access:
- Used ONLY to import client information when you choose
- You can decline and manually enter client details
- Permission can be revoked anytime in Android Settings
- We do NOT upload or sync your contacts

7. Acceptable Use Policy
Permitted Use
You may use KwikInvoice to:
- Create legitimate business invoices
- Manage client information for your business
- Track payments for services or products you provide
- Generate professional PDF invoices
Prohibited Use
You may NOT use KwikInvoice to:
- Create fraudulent or deceptive invoices
- Engage in illegal activities or money laundering
- Harass, abuse, or harm others
- Infringe on intellectual property rights
- Violate any applicable laws or regulations
- Circumvent subscription limits through multiple accounts or devices
- Reverse engineer, decompile, or modify the App
- Use automated tools to access or scrape the App
- Resell or redistribute the App or its content
Tax Compliance
You are solely responsible for:
- Accurate tax calculations on invoices
- Compliance with local tax laws (VAT, income tax, etc.)
- Filing tax returns and paying taxes owed
- KwikInvoice does NOT provide tax advice or guarantee compliance
8. Intellectual Property
Our Rights
- KwikInvoice, including all code, design, and content, is owned by us
- The KwikInvoice name, logo, and branding are our trademarks
- You do NOT acquire ownership rights by using the App
Your Data
- You retain all rights to your business data, invoices, and client information
- By using the App, you do NOT grant us any license to your data
- Your data remains yours and is stored only on your device
Generated PDFs
- PDF invoices you generate are yours to use as needed
- You may share, print, or distribute them for business purposes
- KwikInvoice branding may appear on invoices (can be customized in Pro version)
9. Disclaimer of Warranties
KwikInvoice is provided "AS IS" and "AS AVAILABLE" without warranties of any kind.
No Guarantees
We do NOT guarantee that:
- The App will be error-free or uninterrupted
- Defects will be corrected
- The App is free from viruses or harmful components
- Results will meet your requirements
- Invoice calculations are accurate (you are responsible for verifying)
Use at Your Own Risk
- You use KwikInvoice at your own risk
- We are NOT responsible for business decisions made using the App
- We do NOT provide accounting, tax, or legal advice
Data Loss
- We are NOT responsible for data loss due to:
- Device failure or damage
- Accidental uninstallation
- App updates or bugs
- User error
- Operating system issues
BACKUP YOUR DATA: Export important invoices as PDFs regularly.
10. Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW:
No Liability for Damages
We are NOT liable for:
- Lost profits, revenue, or business opportunities
- Data loss or corruption
- Indirect, incidental, or consequential damages
- Business interruption
- Inaccurate invoices or calculations
- Tax penalties or legal issues
- Third-party claims
Maximum Liability
Our total liability to you is limited to:
- Free Users: R0 (zero) - you paid nothing, we owe nothing
- Pro Users: The amount you paid in the last 12 months (maximum R1,188 for annual subscription)
Exceptions
Some jurisdictions do not allow limitation of liability for personal injury or fraudulent misrepresentation. In those cases, this limitation may not apply to you.
11. Indemnification
You agree to indemnify, defend, and hold us harmless from any claims, damages, losses, or expenses (including legal fees) arising from:
- Your use or misuse of InvoiceFlow
- Your violation of these Terms
- Your violation of applicable laws or regulations
- Your invoices or business practices
- Disputes with your clients
- Inaccurate information you provided
12. Third-Party Services
KwikInvoice integrates with third-party services:
Google Play Billing
- Subscription payments processed by Google
- Subject to Google Play's Terms of Service
- We do not control Google's billing or refund policies
Expo Framework
- App built using Expo development platform
- Subject to Expo's Terms of Service
Sharing Services
- When you share invoices, you use your device's native sharing (WhatsApp, email, etc.)
- Subject to those apps' terms and privacy policies
- We do not control how those services handle your shared invoices
We are not responsible for third-party services' actions, policies, or failures.
13. Updates and Modifications
App Updates
- We may update KwikInvoice to add features, fix bugs, or improve performance
- Updates may be automatic or require manual action
- Continued use after updates constitutes acceptance of changes
- We may discontinue features with notice
Terms Changes
- We may modify these Terms at any time
- Material changes will be notified via:
- App notification
- Email (if provided)
- Updated "Last Updated" date
- Continued use after changes means you accept the new Terms
- If you don't agree, stop using the App
Price Changes
- We reserve the right to change subscription pricing
- Existing subscribers: Changes apply at next renewal
- You'll be notified at least 30 days before price changes
- You can cancel before the new price takes effect
14. Termination
Your Right to Terminate
You may stop using KwikInvoice at any time by:
- Uninstalling the App
- Cancelling your subscription (if applicable)
Our Right to Terminate
We may suspend or terminate your access if:
- You violate these Terms
- You engage in fraudulent or illegal activity
- We discontinue the App (with reasonable notice)
- Required by law
Effect of Termination
Upon termination:
- Your right to use the App ends immediately
- Local data remains on your device until you uninstall
- Pro subscription continues until end of billing period (no refund)
- These Terms survive termination where applicable (liability, indemnification)
15. Dispute Resolution
Governing Law
These Terms are governed by the laws of South Africa, without regard to conflict of law principles.
Informal Resolution
Before filing a claim, you agree to contact us at kwikInvoice@loggedOn.co.za to attempt informal resolution. We'll try to resolve disputes amicably within 30 days.
Arbitration (If Required)
If informal resolution fails:
- Disputes will be resolved through binding arbitration in South Africa
- Arbitration conducted under AFSA (Arbitration Foundation of Southern Africa) rules
- You waive the right to a jury trial or class action
- Arbitration costs shared equally unless law requires otherwise
Small Claims Court
You may bring claims in small claims court if they qualify and remain in that court.
Exceptions
Nothing prevents either party from seeking injunctive relief in court for intellectual property or confidentiality violations.
16. General Provisions
Entire Agreement
These Terms, together with our Privacy Policy, constitute the entire agreement between you and us regarding InvoiceFlow.
Severability
If any provision is found invalid or unenforceable, the remaining provisions continue in full effect.
No Waiver
Our failure to enforce any right or provision does not constitute a waiver of that right.
Assignment
- You may NOT transfer your rights under these Terms
- We may assign our rights to a successor or affiliate
Force Majeure
We are not liable for failures due to causes beyond our reasonable control (natural disasters, war, pandemics, etc.).
Language
These Terms are written in English. Translations (if any) are for convenience only. English version controls.

17. Specific Feature Terms
Invoice Numbering
- Invoice numbers generated automatically (format: INV-001, INV-002, etc.)
- Numbers are sequential and cannot be changed
- Duplicate numbers prevented by database constraints
- You are responsible for ensuring compliance with local invoice numbering regulations
Invoice Status Tracking
- Draft: Invoice created but not finalized
- Unpaid: Invoice issued to client, payment pending
- Paid: Invoice marked as paid by you
- Status changes do NOT automatically notify clients
- You are responsible for client communication
PDF Generation
- PDFs generated on-device using Expo Print API
- Formatting optimized for A4 paper size
- PDFs stored temporarily in app cache
- Saving to device requires storage permission
- PDF quality suitable for printing and sharing
Client Autocomplete
- Client information stored locally for reuse
- Suggestions based on name, email, and phone
- Usage statistics tracked for better suggestions (stored locally)
- No cloud sync - clients stored per-device only
Calendar Month Reset
- Free plan invoice counter resets on 1st of each month at 00:00:00
- Based on device's local time zone
- Reset happens automatically on next app launch after 1st
- Previous month's invoices remain accessible
18. Future Features Disclaimer
Features mentioned as "future," "coming soon," or "Pro version" are:
- Not guaranteed to be implemented
- Subject to change or cancellation
- May require additional terms or fees
- Provided without warranty or commitment
19. Beta Testing and Pre-Release
If you use a pre-release or beta version:
- Features may be unstable or incomplete
- Data loss may occur (backup important data)
- Features may change or be removed
- Additional testing terms may apply
- No service level guarantees

22. Acknowledgment
By using KwikInvoice, you acknowledge that:
- You have read and understood these Terms
- You agree to be bound by these Terms
- You have read our Privacy Policy
- You are at least 18 years old
- You will use the App for lawful purposes only
- You understand data is stored locally and you are responsible for backups
- You understand we provide no warranties or guarantees
If you do not agree, do not use KwikInvoice.
